Standards for submitting and managing buyer requirements

This policy governs submission completeness, verification, data protection, communication, and buyer responsibilities while using Safira.id.

1. Requirement submission

Buyers must submit clear, lawful, and commercially reasonable requirements.

  • Minimum information includes product, specification, quantity, destination, timeline, Incoterms, and payment preference.
  • Supporting documents must be relevant and must not contain unnecessary sensitive data.
  • Duplicate, misleading, unlawful, or commercially unreasonable submissions may be rejected.

2. Verification and clarification

Safira may request clarification, company evidence, procurement targets, or supporting information before a requirement is published or shared with suppliers.

Verified status means that certain data has been reviewed based on available information. It is not a guarantee of purchase or payment capability.

3. Buyer data protection

  • Buyer contact details, target pricing, and confidential documents are not publicly displayed.
  • Sensitive data is shared only according to process need and user authorization.
  • Buyers are responsible for ensuring submitted data can be lawfully processed.

4. Shortlisting and communication

Safira may shortlist suppliers based on category, capacity, price, documents, export readiness, and delivery terms. Communication may be managed through platform messaging, email, or other documented channels.

5. Transaction responsibility

  • Buyers must review quotations, specifications, capacity, timeline, payment, and documents before approving a transaction.
  • Final commercial decisions follow the contracts and documents agreed by the parties.
  • Safira does not guarantee product quality, payment, customs clearance, or delivery unless separately agreed in writing.

6. Policy enforcement

Safira may request revisions, restrict visibility, suspend submissions, or close accounts in cases of false information, misuse, legal violations, or security risks.
